Why this goes wrong

What we usually find, and what we do instead

ERP Development by Webcotec is planned, designed and developed around your business workflow. We focus on performance, security, usability, SEO structure and long-term scalability so your digital system is easy to manage and ready to grow.

What we usually find

 • Stock on hand nobody trusts — so someone walks to the shelf and counts before committing to a delivery date.
 • Job costing after the fact — you learn a job lost money at invoicing, which is a month too late to do anything.
 • Purchase orders in an inbox — approvals by reply-all, and no way to see committed spend against a job.
 • Three systems, one source of truth, none of them agreeing — stock in one, jobs in another, invoices in a third.
 • A quote for a tier-one ERP — six figures and eighteen months for modules you will never switch on.

What we do instead

 • Make stock movements the record — receipt, transfer, pick and adjustment, each logged with who and when.
 • Cost the job as it runs — labour, materials and overhead posted against the job while it is still open.
 • Put purchasing in the system — raise, approve and receive against a job, with committed spend visible before the invoice.
 • One operational database — stock, jobs and purchasing in one place, with accounting integrated rather than duplicated.
 • Build the modules you use — and leave out the ones a tier-one licence makes you pay for anyway.
What's included

What we actually work on

Not a checklist of 200 "optimisations". These are the things that move the result.

Inventory and warehouse

Multi-location stock with batch and serial tracking, stocktake and adjustment workflows, reorder points and barcode scanning on a phone or handheld.

Production and job costing

Bills of material, work orders and labour capture, with material, labour and overhead posting against the job while it runs rather than at invoicing.

Purchasing and supplier management

Requisition through approval to receipt, matched against the purchase order and the job, so committed spend is visible before the invoice arrives.

Accounting integration

Two-way sync with Xero or MYOB for invoices, bills, payments and the chart of accounts, so the operational system and the accounting file agree without rekeying.

Operational reporting

Stock valuation, job profitability, supplier performance and production throughput, reported live from the operational database rather than a monthly export.

Roles, approvals and audit

Approval thresholds, segregation of duties and a full audit trail on every stock movement and cost posting, which is what makes the numbers defensible.

How we work

A sequence, not a black box

You see the plan before we touch anything, and you approve what gets done.

01

Scope

We walk your floor and your process, map the data and the integration points, and write the specification with a fixed price.

02

Model

Data model, approval rules and the accounting integration agreed before code, because these are expensive to change later.

03

Build

Two-week increments, starting with the module that hurts most, each one usable by your team as it lands.

04

Integrate

Accounting, and any existing systems that stay, connected with reconciliation so the numbers can be proven.

05

Roll out

Module by module with parallel running and training, rather than one cutover weekend that nobody sleeps through.

FAQ

Questions Australian businesses ask about ERP

How much does a custom ERP cost in Australia?

A focused build covering inventory and job costing generally starts in the high five figures. A full operational platform with production, purchasing and accounting integration runs into six. That is still typically well below a tier-one licence plus implementation, and there is no per-seat cost as you grow.

Why not just use an off-the-shelf ERP?

If your process is standard, do. Platforms like Cin7, Unleashed or MYOB Advanced fit many Australian businesses well and cost far less than a build. Building earns its cost when your production process is genuinely unusual, when per-seat licensing has outgrown the value, or when the integration you need does not exist.

Can it work with Xero or MYOB?

Yes, and it should. We sync invoices, bills, payments and the chart of accounts rather than rebuilding accounting, because your accountant already knows those tools and the compliance is handled.

How long before we can use it?

First module in three to four months, typically inventory or job costing depending on what is hurting most. You use each module as it lands rather than waiting for the whole system.

What about barcode scanning?

Supported on standard phones and on rugged handhelds. Stock movements, picking and stocktake all work from a scanner, which is usually where the accuracy gain comes from.

Can we run it alongside our current system?

Yes, and for the first months you should. We run parallel and reconcile until the numbers match, then retire the old path module by module.

Who owns the system?

You do. Source in your repository, database under your control, and documentation written as we go. Any competent developer can maintain it.

Is our data stored in Australia?

It can be, and for most operational data we would recommend it. We configure Australian regions in AWS or Azure where residency matters to you or your customers.
