A CRM shaped around how you actually sell, not how a platform thinks you should

Built when per-seat licensing has outgrown the value or your pipeline does not fit the boxes. Your data, your fields, no cost that grows every time you hire.

No per-seat licence
Your pipeline, your stages
Data exportable at any time

Every engagement includes

 • Pipeline mapped to your process
 • Email and calendar connected
 • Role-based permissions
 • Reporting built in
 • Full data export any time
Why this goes wrong

What we usually find, and what we do instead

CRM Development by Webcotec is planned, designed and developed around your business workflow. We focus on performance, security, usability, SEO structure and long-term scalability so your digital system is easy to manage and ready to grow.

What we usually find

 • Paying per seat for ten percent of a platform — a licence that grows with headcount whether or not anyone logs in.
 • A pipeline that does not fit — forcing your stages into someone else's, so the forecast means nothing.
 • The real CRM is a spreadsheet — because the official one is too slow to update between calls.
 • Nobody logs the call — so the handover when someone leaves is a mailbox and a memory.
 • Reports that cannot answer the question — you can see deals by stage but not why they stall.

What we do instead

 • Build once, add users free — the twentieth user costs nothing, which changes how the team actually uses it.
 • Model your stages — including the ones that are specific to how your business qualifies and quotes.
 • Make logging faster than avoiding it — two clicks from an email to a logged activity, or people will not do it.
 • Capture context, not just outcomes — notes, files and the thread attached to the record rather than a person's inbox.
 • Report on the questions you ask — where deals stall, which source converts, what the pipeline is really worth.
What's included

What we actually work on

Not a checklist of 200 "optimisations". These are the things that move the result.

Pipeline and stage modelling

Your stages, your qualification criteria and your required fields per stage, so the forecast reflects how you actually sell rather than a template.

Lead capture and routing

Website forms, phone, email and chat landing in one place with assignment rules, so nothing sits unclaimed and response time is measurable.

Email and calendar integration

Two-way sync with Microsoft 365 or Google Workspace, with threads and meetings attached to the record automatically rather than copied across by hand.

Quotes and documents

Quote generation from your own templates with version history and acceptance tracking, so the quote and the record are the same thing.

Roles and permissions

Who sees which records, which fields are editable by whom, and a full audit trail. Necessary the moment you have contractors or a sales team.

Reporting and forecasting

Weighted pipeline, conversion by source and service, activity per owner and time-in-stage, reported from the operational database rather than an export.

How we work

A sequence, not a black box

You see the plan before we touch anything, and you approve what gets done.

01

Scope

We map how a lead actually becomes a customer in your business, including the steps nobody has written down.

02

Model

Pipeline, fields, permissions and integrations agreed on paper before anything is built.

03

Build

Two-week increments you can log into and use with real records, so the shape is corrected early.

04

Migrate

Existing contacts and deals imported, deduplicated against rules you approve, and reconciled.

05

Adopt

Training, and a fortnightly pass over the first two months, because a CRM nobody updates is worse than a spreadsheet.

FAQ

Questions Australian businesses ask about CRM

Why build a CRM instead of using HubSpot or Salesforce?

For most businesses you should use one of those. Building earns its cost when per-seat licensing has outgrown the value you get, when your pipeline genuinely does not fit the platform's model, or when you need an integration the platform cannot do. We will tell you when off-the-shelf is the better answer.

How much does a custom CRM cost in Australia?

A focused CRM covering pipeline, contacts and quoting generally starts in the mid five figures. Add email sync, document generation and reporting and it runs higher. The trade is a one-off build cost against a per-seat licence that never stops.

Can we migrate from our current CRM?

Yes. Contacts, companies, deals, activities and files migrate, with deduplication rules you approve before they run. We reconcile counts against the source and keep the old system readable until you sign off.

Will it work with Outlook or Gmail?

Yes, two-way sync with Microsoft 365 or Google Workspace. Threads and calendar events attach to the right record automatically, which is the single biggest factor in whether people keep using it.

What about mobile?

The interface is responsive and works properly on a phone. A native app is a separate build and only worth it if your team is genuinely in the field all day.

Who owns the data?

You do, and full export is a standard feature rather than something we build if you ask. The database is yours and the source is in your repository.

How do we get the team to actually use it?

By making logging faster than avoiding it, and by not requiring fields nobody needs. We also run a fortnightly review for the first two months and cut whatever is being skipped.

Can it handle quotes and invoices?

Quotes yes, from your own templates with version history and acceptance tracking. Invoicing usually belongs in Xero or MYOB, and we integrate rather than rebuild it.
