1. Project deposits and milestone payments
Most website, software and automation projects require an upfront deposit or milestone payment before work begins. This secures planning, design, development resources and delivery scheduling.
- Deposits may be applied to discovery, planning, design, development and project management work already completed.
- Milestone payments are linked to agreed project stages, deliverables or timelines.
2. Cancellation before work starts
If a client cancels before meaningful work has started, Webcotec may review whether a partial or full refund is appropriate after deducting any payment gateway charges, administrative time or third-party costs already incurred.
3. Cancellation after work starts
Where strategy, design, development, content, meetings, setup, integrations or project management work has already started, payments for completed or allocated work may not be refundable.
4. Delivery timelines
Project timelines depend on scope, client approvals, content availability, third-party systems, API access, payment gateway approval, hosting access and change requests. If no specific delivery time is agreed, delivery should occur within a reasonable time for the project type.
5. Delay from Webcotec side
If Webcotec causes a material delay against an agreed delivery timeline, we will review the project status and propose a practical resolution. This may include a revised delivery plan, additional support, completion of pending work, or refund review for undelivered portions where appropriate.
6. Delay from client side
Timelines may extend where the client delays approvals, content, product data, credentials, feedback, payments or required third-party access. In such cases, Webcotec may revise the delivery schedule and continue from the latest approved scope.
7. Scope changes and additional work
New features, changed layouts, extra pages, integrations, automation flows or major revisions outside the approved scope may require additional time and quotation. Scope changes can affect delivery dates.
8. Bugs, fixes and support after delivery
If an issue relates to approved project functionality, Webcotec will review and rectify valid defects within a reasonable support period. New requirements, third-party platform changes or client-side edits may be quoted separately.
9. Refund review process
Refunds are not automatic. Each request is reviewed based on the approved proposal, work completed, delivery stage, communication history, third-party costs and applicable consumer guarantees.
10. How to raise an issue
Submit a project support request with your project reference, invoice number, agreed timeline, issue details and preferred resolution. Webcotec will review and respond with the next step.
