AI chatbots that answer from your own content, not from guesswork

Built on your documents, products and policies, with the questions it cannot answer handed to a human instead of invented. Australian data handling, and you own the knowledge base.

Why this goes wrong

What we usually find, and what we do instead

Webcotec builds AI chatbot systems for Australian businesses that want faster response times and better customer support without losing control. Chatbots can be connected to website forms, knowledge bases, CRM systems, WhatsApp workflows and support processes.

What we usually find

 • A bot that invents answers — confidently telling customers things about your policies that are not true.
 • A decision tree with twelve buttons — which is a phone menu on a web page, and customers leave rather than use it.
 • No hand-off — so the one genuinely valuable enquiry of the day dies in a chat window at 9pm.
 • Trained once and never again — answering from a price list and an opening-hours page that changed months ago.
 • Conversations you cannot export — the record of what customers asked belongs to the vendor, not to you.

What we do instead

 • Ground every answer in your content — retrieval from your own documents, so the bot quotes you rather than improvising.
 • Say “I don’t know” on purpose — an unanswered question routed to a person beats a confident wrong answer.
 • Capture the lead in the conversation — name, email and context handed to your CRM while intent is still high.
 • Re-index on a schedule — when a price or policy page changes, the bot knows within the hour.
 • Keep the transcripts — they are the clearest list of what your customers cannot find on your site.
What's included

What we actually work on

Not a checklist of 200 "optimisations". These are the things that move the result.

Knowledge base from your content

We index your service pages, product data, policies and PDFs, so answers come from material you control and can point to, rather than from a general model guessing.

Retrieval-grounded answers

Every response is assembled from retrieved passages with a confidence threshold. Below it the bot stops and offers a human, which is the single most important setting in the build.

Human hand-off and routing

Escalation to email, your CRM or a live inbox during business hours, with the full transcript attached so nobody asks the customer to repeat themselves.

Lead capture in conversation

Contact details and qualification captured mid-chat and written to your CRM, rather than a separate form the visitor has to find afterwards.

Guardrails and safe topics

Explicit refusal on pricing commitments, legal or medical advice and anything outside scope, configured with you rather than left to the model.

Transcript analytics

What was asked, what went unanswered and where hand-offs happened, reviewed monthly so the knowledge base gets better rather than going stale.

How we work

A sequence, not a black box

You see the plan before we touch anything, and you approve what gets done.

01

Scope

We map the questions you actually get, the content that answers them, and the ones that must always reach a person.

02

Index

Your documents, pages and product data are indexed and tested against real questions before anything faces a customer.

03

Tune

Confidence thresholds, refusals and hand-off rules set with you, then tested on the questions most likely to cause trouble.

04

Launch

Deployed behind a widget on your site, with transcripts logging from the first conversation.

05

Review

Monthly pass over unanswered questions and wrong answers, feeding straight back into the knowledge base.

FAQ

Questions Australian businesses ask about AI chatbots

Will the chatbot make things up?

It can, if it is built to answer from a general model. Ours answers from retrieved passages of your own content with a confidence threshold, and below that threshold it says it does not know and offers a person. That setting is the difference between a useful bot and a liability.

How much does an AI chatbot cost in Australia?

A focused chatbot over an existing site and document set generally starts in the low five figures to build, plus a monthly cost for hosting and model usage that depends on conversation volume. We quote both separately so you can see what scales with usage.

Where do the conversations and the index live?

Conversation logs and your indexed content sit in infrastructure you control, in an Australian region where you need it. We will tell you plainly which parts of the pipeline call an overseas API and what is sent.

Can it connect to our CRM?

Yes, where the CRM exposes an API. Captured leads and transcripts are written across with the conversation attached, so your team has the context before they reply.

What happens outside business hours?

That is where a chatbot earns its cost. It answers what it can and captures the enquiry with enough detail for someone to act on it in the morning, rather than losing it.

Can we update the knowledge base ourselves?

Yes. Re-indexing runs on a schedule and can be triggered manually, and the source is your own pages and documents, so updating the site updates the bot.

How do we know if it is working?

The transcripts. We report on answered versus escalated, the questions it could not handle, and any answers flagged as wrong, then fix the content behind them.

Can it handle more than English?

Yes, though we would test it properly in each language before you rely on it. Accuracy drops in languages your source content does not cover.
